University of Texas Executive Education Benefits from Efficiencies
March 10, 2011—The AT&T Executive Education and Conference Center has developed
a reputation as one of the premier business centers in the country. Home to Executive
Education MBA and leadership programs, but lest you think you are in Oxford or Cambridge
there is a view from nearly every guest room of the Texas State Capitol or the University
of Texas at Austin campus Tower, and the lyrics to “The Eyes of Texas” are woven
into the ballroom carpet.
That is the kind of world-class thinking that went into this residentially-accredited
IACC conference facility, from the fully digital voice-over internet protocol (VoIP)
telephones with displays that provide news content (such as stock reports), to the
environmentally-conscious low-flow plumbing in each room. With seven tiered classrooms,
a 300-seat amphitheater, multiple breakout and conference rooms and a 10,000-square-foot
ballroom to complement three restaurants, replenishing and tracking food and beverage
also gets the high-tech treatment with Adaco .NET, an end-to-end hospitality procurement

“We have a lot of meeting space, very high-tech facilities and the McCombs School
of Business right in the building,” said Elliott Gayle, Controller. “The center
deployed Adaco when it opened to increase purchasing efficiency and optimize logistics.
We use it primarily to track requisitions, sort items by cost and to keep an eye
on high-cost items.”
Gayle said 15 Adaco .NET users enter requisitions for multiple outlets. In addition
to the three restaurants the center operates room service, banquet and off-premises
catering; a coffee bar; a large energy bar with sandwiches; and a cafe at the nearby
Blanton Museum. Three administrative users (including the banquet chef) review and
approve requests, and deliveries are matched to requisition documents shortly after
arrival.
“If it moves, it has to be documented,” Gayle said, adding that the ability to stay
on top of procurement has helped the center grow without losing control of costs.
“We’ve grown our external business substantially, our second year was significantly
better than the first,” Gayle said. “We would not have been able to do that without
growing staff, and we believe efficiencies inherent in Adaco .NET played a part
in that.”
