Changeover required input of inventory and history from spreadsheets
December 28, 2010—With a resort-like ambience, the Wyndham Kingston Jamaica is an
oasis in the heart of Kingston’s financial and diplomatic district. An 18-story
high rise with more than 16,000 square feet of event space rises amid 7.5 acres
of manicured lawns, lush night-it gardens and cascading waterfalls. Inside are 303
rooms suitable for business travelers or vacationers, with amenities that include
a 24-hour fitness center and six food and beverage outlets.
Until last July the property was flagged as a member of the Hilton chain. When the
hotel’s owners of two years made a deal with Wyndham, the surprise announcement
left staff only days to transition from one procurement system for another.
“We find that we much prefer Adaco,” said Andrew Foster, Purchasing Manager for
the property for the past two years. “It is a much more user-friendly system than
we were using. Crash course as it was, we were learning a new system while we were
running a live operation. We still haven’t been able to explore all aspects of the
system, but we also know it’s a lot more flexible than what we are used to.”
Foster said there was just enough time to export spreadsheet-formatted inventories
and ordering histories from the Hilton system and import them into Adaco.
“We would have preferred a more orderly migration, and not all of our outlets have
been put into Adaco yet, we have eliminated a lot of paper generated by the previous
system, including all the three-part forms that we did requisition on,” said Foster,
who said the reduction in paper dovetails nicely with the objectives of Wyndham
Worldwide’s award-winning sustainability program, www.wyndhamgreen.com. Foster said
that there are more than 60 users on the Adaco system, including housekeeping and
engineering procurement as well as all the property’s food, banquet and beverage
needs.
“The Wyndham Kingston management recognized and seized this opportunity to streamline
and optimize its procurement practices,” said Eddie McDonough, Vice President of
Sales for Adaco. “We worked closely with the staff at all levels, providing everything
from technical assistance to training, and we do not believe any other procurement
system could have provided such a straightforward and accurate transition, though
a large part of the success is also due to the Wyndham staff’s diligence and enthusiasm.”
